Close Month for Financial Reporting

Closing the month to finalise all costs in reporting

Introduction

The close month function in Lentune allows the finance team to lock reporting periods after month-end, preventing any new or updated spent costs dated within the closed month from affecting past reports. This also prevents committed cost duplication and ensures accurate financial reporting.

Note: this function only impacts the financial reporting module, and will have no impact on other areas in the system like Power BI.

How it works:

  • Takes a snapshot of all costs as of the last day of the previous month for sending through to the reporting module, locking the monthly data snapshot so it can't be retrospectively changed.
  • Ensures late arriving invoices flow into the following month's reporting instead of altering closed months once a month is closed.
  • Provides accurate committed cost calculations.

 

Closing the month

Note: you must have the CLOSEMONTHFORACUITE security role in order to be able to close the month for any select project.

To close the month for multiple projects:

1. Head to Administration > Projects.

2. Click More > Close Month.

3. Use the Status filter to narrow down the projects you would like to close, then either select all or the individual projects you would like to close.

4. Click Confirm.

You will get a message saying "Successfully closed the month for [X] project(s)"

When you view the project details, the Latest Month Close Date will display below the Close month button. Eg: 31/03/2026.

To close the month for an individual project:

1. Open up your project.

2. From the details tab, in the bottom left corner of the page click Close month.

3. You will receive a message saying "This will close the month for this project and all associated costs. Are you sure you wish to continue?" Click Yes.

You will get a message saying "Month closed successfully".

The Latest Month Close Date will display below the Close month button. Eg: 31/03/2026.

 

Important limitations: You can only ever close the month prior to the current date. You also cannot re-open a month once you have closed it, so make sure you have confirmed all invoices and costs are in and finalised before you close the month.

Once the month has been closed for all projects, the next time they are synced through to the reporting (either through a manual refresh from the project, or the daily sync), the snapshotted data for the closed month will show in the reporting for the specified monthly period.

 

Updating the invoice transaction restriction date

After closing a month, you should update the system invoice transaction restriction date to prevent backdated invoices from being able to be processed with a date for a month that is closed.

1. Go to Administration > Settings.

2. Update the Invoice Transaction Restriction Date to the end of the closed month. Eg: 31/03/2026.

This prevents any new invoices from being able to be coded to the previous month.

If you don't update this date, the system will allow invoices to arrive into Lentune and be processed with that transaction date, however the costs will flow through to the following month's reporting, as the closed months snapshot will never change, ensuring the data integrity of historic reports.
