Release Notes 3.101
Lentune | Latest Release Notes (3.101)
Release 3.101 brings retention statements for subcontractors, a stronger Claims Dashboard, default email templates for payment claims, Xero payment dates on receivable invoices, and bulk editing of invoice lines. In Other News, you’ll find improvements across Invoice Automation, Claims, Timesheets, and Reporting.
Retention Statements for Subcontractors
You can now generate a retention statement for any subcontractor whenever you need one, and attach a retention summary to a payment claim so subcontractors can always see their current retention position.
- Generate a retention statement on demand, then download it or email it straight to the subcontractor.
- Attach a retention summary for a specific contract to a subcontract payment claim, so the subcontractor sees where their retention sits alongside the claim.
- Use the new Subcontract retention statement email template in the Payment Claims Manager to set how the email reads.
- The statement PDF uses your Payment schedule report sub-title and the same supplier address as the payment schedule.
- The statements grid now has a search bar on each column, separate columns for project code, supplier, and subcontract, and a Sum: bar anchored to the bottom of the page.
- Full details can be found here: Send Retention Statements to your Subcontractors
Subcontractor Claims Dashboard
The Claims Dashboard now works much more like the Invoice Automation Dashboard, so you can chase approvers and clear claims at month-end faster.
- New count indicators show how many claims sit at 1st approval, 2nd approval, and Payables.
- Use the new Notify users of approvals button to email the approvers for a stage. The message is pre-filled and editable, and only goes to approvers with claims in your current date range and branch filters.
- Use Export data to download the dashboard’s claim data to .xlsx, respecting your current filters.
- Use the new Reassign claims button to move or clear one person’s claim approvals in a single step, so claims don’t stall when an approver is away or has left.
Default Email Templates for Payment Claims
Head contract claim and subcontract claim emails are no longer fixed, basic text. You can now set up your own templates so the emails you send look the way you want them to.
- Set your head contract claim email template in the Payment Claims Manager.
- Set your subcontract claim email template in the same place.
- Claims you send from Lentune use your templates by default.
Paid Date on Receivable Invoices (Xero)
You can now see when a receivable invoice was paid in Xero without leaving Lentune.
- A daily task checks each branch’s Xero payments and adds a read-only Paid Date to the matching receivable invoice.
- This covers head contract progress claims posted to Xero.
- An invoice counts as paid when it has a Paid Date. If a payment is rolled back in Xero, the Paid Date is cleared.
- Lentune still owns your invoice status. The Paid Date is shown alongside it.
Bulk Edit Invoice Lines
Recoding a supplier invoice with lots of lines no longer means editing each line one at a time.
- Tick the lines you want to change, then choose More > Edit selected lines.
- Update the coding details for all selected lines at once in the modal.
- Available to invoice checkers and approvers reviewing invoices with many lines.
Variations Page: Faster and Easier to Filter
The Variations page now loads much faster on large projects, and you can narrow the list down without scrolling.
- New advanced filter on the Variations page.
- Save your filter choices as your defaults so the page opens the way you like it.
Supporting Documents from Projects
The Supporting documents tab on a project now lets you search every document attached to anything on that project, all in one place.
- Search documents attached to invoices, purchase orders, subcontracts, head contracts (including onsite/offsite materials and claims), and variations.
- Uses the same screen as the main Supporting Documents page, filtered to the project you’re in.
- Use the filters to narrow your results.
Mobile App — Packing Slip Refresh
Logging a packing slip on the Lentune mobile app is now clearer. Before you submit, you can see which job the purchase order belongs to and exactly how its status will change, so it’s much harder to put a slip against the wrong job.
- Easier PO search: The search screen now says what you can search by: PO number, PO description or supplier. Matching POs show up as you type, each with its PO number, description and supplier.
- Your open purchase orders: Before you search, the screen lists your open POs under Your open purchase orders. Only outstanding POs appear, and the list refreshes once you’ve updated one.
- Job details up front: The Add Packing Slip screen shows the project code and project name at the top. Below them are the supplier, description, PO total, who raised the PO and the date it was created.
- You choose the status: The screen shows the PO’s current status next to a Change to field. Pick Not Received, Partially Received or Fully Received. The status no longer changes unless you choose a new one.
- Photos on the same screen: Take photo and Pick photo are now on the packing slip screen, and your photos show as thumbnails. A photo of the packing slip is needed before you can submit, and the app will remind you if one is missing.
- Submit to confirm: A Submit button at the bottom saves your changes.
- To get these changes, update the Lentune app from the App Store or Google Play.
In Other News
Invoice Automation
- You can now select multiple branches when searching for invoices on the Process screen.
- A new security role lets approvers edit an invoice’s due date from the approval screens. It isn’t given to anyone by default, so you choose who gets it.
Claims
- Head contract claim tax invoices now show the Project Description between the Invoice Number and Reference.
- The subcontract claim payment schedule now correctly names the second approver as the person issuing the claim.
- Draft, Instructed, and No Longer Required variations can no longer be claimed against on head contract claims.
Timesheets
- New Import Timesheets security role, so you can let someone import timesheets without giving them the full Timesheet Admin role.
- Leave requests now fill in the first and second approvers automatically, based on default approvers set up on each employee or on the time sheet user group.
- Public Holiday entries can now be exempted from dual approval, so they reach the Process screen even when leave requires it.
Thanks for continuing to share feedback — it plays a big role in shaping the improvements we prioritise in every release. Happy automating!
