Compare Project Performance Across the Company (Organisation Portfolio)

The Organisation Portfolio Dashboard can be accessed in the Administration Tab, and provides a company-wide view of project financial performance. You can compare costs and claims across projects, and track key metrics over time.

Overview

The Organisation Portfolio Dashboard gives you a clear, company-wide view of how all your projects are performing. It’s designed to help you track key financials, compare jobs, and keep an eye on claims, costs, margins, and retentions - without jumping between multiple screens.

To access: Go to the Administration Tab, then select Organisation Portfolio from the left menu.


Add Filters

You can customise your view using filters to focus on the data that matters most.

  • Reporting Period – View results “as at” a specific month, excluding any transactions after that date.

  • Project Filters – Narrow results by branch, client, project status, key staff member, and more to compare specific business areas or roles.


Key Graphs and Tables

  • Total Monthly Claims: Value of head contract claims for the month, compared with the past 12 months. Includes claims with status Prepared and above.

  • Claimed vs Spent: Surplus or Deficit (Graph) – Shows if more revenue has been claimed or more costs incurred across all jobs.

  • Project Summary Table: Quick snapshot by project: % complete (cost and revenue), Claimed vs Revised Contract Value, Gross vs Forecast Margin, and WIP.

  • Head Contract Claim Summary: Most recent claim per project, showing amount, status, and total claimed to date.

  • Claimed vs Spent (Monthly & Cumulative): Monthly and running totals of claims vs costs, with dotted lines showing forecasts. Highlights over- or under-claiming.

  • Claimed vs Spent Surplus or Deficit Table: Net claim/spend position for the current and previous two months, showing top 10 surpluses and deficits.

  • Invoices, Claims & Retentions: Contract value, current claim, status, invoiced amount, and retention held/released.

  • Claims by Month: Monthly claims for the past 12 months, plus total claimed to date, revised contract value, % complete, and amount left to claim.

  • Costs Spent by Month: Monthly spent costs for the past 12 months, plus total spent, total cost at completion, % complete, and amount left to spend.

  • Head Contract Retention: Retention held, released, and balance for each project, with last claim date.

  • Subcontractors Retention: Total subcontractor retention held, released, and balance per project (use subcontractor report for detailed breakdown).


FAQs

Q: Who has access to the Organisation Portfolio?
A: Only users with access to the administration tab can view the company-level dashboard.

Q: Can I filter my data by month?
A: Yes, you can filter by Reporting Period to see the data as at a certain month, excluding transactions dated after that month.

Q: Can I export these reports?
A: Yes, you can export these reports either as a PDF or a CSV depending on the report type.
To do this, click the menu at the top right of each report (the three horizontal lines).
