Enter an Expense in the Browser
Lentune expense users can add an expense claim and its details into Lentune from the browser application so it can be submitted and approved.
Create a New Expense via your Desktop
Overview
You can record and manage your expenses in Lentune, either on your desktop or through the mobile app. Here, we'll take you through the process using your desktop. To read about entering expenses in the app, click Entering an Expense in the Lentune Mobile App.
Create a New Expense via your Desktop
- Start at Expense > Unsubmitted and click New receipt.
Enter the Expense Details
- Select the Expense Card for yourself or another claimant, if applicable, Merchant , Description, Expense Type, Amount, Transaction date, Statement date, and attach the receipt.
Single or Multiple Line Items
If the items on your expense need to be coded against more than one project, cost code or General ledger, you might want to code it as a multi-line expense.
- Single Line Expenses
- Leave the Multiline field blank for single-line expenses.
- Enter the details in the upper section.
- Multiline-line Expense

- Toggle the Multiline field for Multi-line expenses.

- The sum of all lines must add up to the total entered on the first screen.
- Specify Branch, Project, Cost code, General Ledger Account, Amount, and Tax for each line.
- Click Save or Save & Next to save the line.
Use the custom calculator
If your admin has added a custom calculator for your expenses, you can use the Custom Calculator window, which is available from the amount field.
- Calculator type: The first expense with a rate will display. Click the search icon to choose a different item if required.
- Unit rate: The unit rate for the expense is displayed.
- Unit quantity: Input the quantity for your claim.
- Total amount: The calculator automatically computes and displays the total amount.
- Click Confirm.
Save the expense
Click Save & Close or Save & Next to save your entry.
View Expenses
You can view all your expenses, which will be displayed in these categories:
- Needs more detail: Incomplete expenses, requiring additional details for approval.
- Awaiting statement: Credit card expenses awaiting approval. Once the statement has been loaded to Lentune, the expenses are matched and you are able to submit them.
- Ready to be submitted: Expenses for reimbursement, all mandatory fields completed.
Submit Expenses
Once the Expense has been created, and has the status ready to be submitted, it can be submitted for approval. Either:
- Double click on the expense and select Save &Submit
- Use the select boxes to select the expenses you'd like to submit and select Submit selected
Your expense has now been submitted and is awaiting approval.
